Quick answer

An automated reply confirms that an enquiry arrived and explains what happens next. Pair it with an alert and a named person responsible for following up. The useful outcome is a dependable response process, not simply another email being sent.

A customer has filled in your contact form. They should not have to wonder whether it worked.

A short confirmation email can acknowledge the enquiry while your team gets ready to respond. It works best as part of a clear process: confirm receipt, notify the right person and keep track of what happens next.

## What should the reply say?

Keep it short. Confirm that the message arrived, explain the next step and give a realistic response expectation. Use a monitored reply address so the customer can add something they forgot.

Here is an illustrative starting point, to adapt to your actual service:

> Thanks for getting in touch. Your enquiry has reached our team. We will review the details and contact you to discuss the next step. If you need to add anything, you can reply to this email.

If you include a response time, choose one your team can meet and explain how weekends or holidays affect it. Avoid describing the email as a personal review if nobody has read the enquiry yet.

## Make sure somebody owns the enquiry

A confirmation email reassures the customer. It does not tell your team who should act.

Decide where enquiries go, who receives an alert and how another person takes over if the first is unavailable. A shared inbox may be enough for a small team. A busier business may need an assigned owner and a visible status in a CRM.

Our [Davis custom CRM case study](/custom-crm-case-study-davis/) shows a more involved version of that problem: distributing leads across a large network while keeping their progress visible.

## Match alerts to the work

An urgent trade enquiry may need a prompt alert. A detailed project enquiry may first need review by the right specialist. Sending every message to everyone can make important requests harder to spot.

Start with the decision somebody needs to make, then choose the notification that helps them make it. Our [custom software and workflow service](/software-development/) can connect forms, ownership and reporting when the existing tools leave gaps.

## Test the whole journey

Use a test enquiry that you can clearly identify, then check:

1. The form gives a clear success message.
2. The confirmation reaches the customer and contains the right information.
3. The team receives the enquiry with enough context to respond.
4. Replies reach a monitored inbox.
5. The owner can record the next action.
6. A failed delivery or integration is visible to someone who can fix it.

Repeat the check after changes to forms, email settings or connected systems. This is a small piece of ongoing website care, rather than a set-and-forget promise.

## Measure whether the process is helping

Look at the time to the first human response, enquiries that have no owner and the number that become useful conversations. An automatic email being delivered is not the same as a lead being followed up.

The setup effort depends on the existing form, email service and CRM. Sometimes the tools already have the necessary settings; other times the connection needs work.

If your enquiry process has gaps, [talk to Virtual Innovation](/contact/). We can review the [website](/ai-powered-websites/) and the work behind it, then recommend a practical improvement.
